Q2 2022 RAC Leadership Meeting Minutes

Attendees: Steve Izzo, Naveen Malik, Dana Bostic, Barton Meeks, Anastasia Vail, Steve Blake, Ann Murphy
New business/topics:
- Fort Bragg Outreach event (Wed. June 15). Dana Bostic is the event lead. Matt Lochansky will provide event details to Dana. Extreme heat predicted.

Loaner Scope
- Mike Keefe is looking to handover management of the loaner scope program to a new volunteer.
Public Outreach
- Outreach event coordinators need to be assertive regarding weather conditions with local event hosts, including excessive heat warnings.
- TLC Three Bears Acres is considering becoming a RAC observing site for RACOBS and impromptu observing. Anastasia is coordinating with them. They are also considering hosting a star party.

In-person Meetings
- For each meeting, the meeting co-chair needs to coordinate with the museum to provide us a liason (to open the museum door). The museum contact should be advertised to the leadership team in the event an issue arises. A/V team should try to arrive by 6:30 PM. There have been some issues with Zoom sound quality. Meeting co-chair is responsible for arranging dinner for the meeting speaker (if desired).
- We should document what equipment (e.g., cables) is needed to host the Zoom feed at a meeting. We need a “producer” for each meeting.
- Door prizes: Considering a nice set of eyepieces for a door prize.
- Mic: Should we invest in a standing mic/stand? Should we buy a laptop for Zoom hosting? Steve I: We would need to discuss this with the club. In the past club equipment has vanished. Ana: We need a “meeting bin” with all the gear that is needed at every meeting.
